We only access your calendar and microphone to sync your appointments to the app and from the app to your calendar based on calendar space availability, process your requests and your voice commands. Your data is used solely to assist you.

Vox Secretary AI is developed and operated by an independent developer. This application is a voice-first personal assistant that helps you organize meetings, tasks, notes, and reminders through natural speech commands.

Vox Secretary AI collects the following categories of information to provide its services:
When you register, we collect your email address and name through the Base44 authentication system. This information is used to identify your account and provide personalized service.
If you connect your Google Calendar, Vox Secretary AI reads your existing calendar events to find available time slots, and creates new events when you schedule meetings through voice commands. We access only calendar data necessary for scheduling. We do not access your Google contacts, emails, files, or other Google account data.
Calendar authorization is managed through Google's OAuth system. You can revoke access at any time from your Google Account settings or from within the app's Settings page.
When you create a meeting, you may enter participant names, phone numbers, and locations. This information is stored in your account to display meeting details and enable the "Tap & Call" feature, which opens your phone's dialer with the number pre-filled. We do not import or access your contacts list.
Telephone numbers you enter are used solely to display meeting details and to open your device's dialer when you tap a contact. The app does not make phone calls automatically, does not access your call log, and does not send SMS messages.
Your tasks, reminders, and notes are stored securely in our database and are associated with your account. This data is only accessible to you and is never shared with other users.
When you use voice commands, your speech is captured temporarily by your device's microphone and sent to a speech-to-text service for transcription. The resulting text transcript is processed by an AI model to interpret your intent.
Audio is not permanently stored. Voice audio is processed temporarily for transcription and is not retained after the transcription is complete. Text transcripts of your commands may be retained as part of your task or meeting data for your reference.
Your voice transcripts and scheduling requests are processed by AI services to interpret commands, calculate available time slots, and propose meeting times. The AI does not make autonomous decisions—all proposed actions require your explicit confirmation before any calendar event is created, modified, or deleted.
We collect basic diagnostic information such as browser type, app version, and anonymous usage statistics (number of meetings created, tasks completed, voice commands used) to improve the service and troubleshoot issues.
Vox Secretary AI does not collect or use your location in the current version. A home address field is available in Settings for future travel-time calculation features, but location data is not automatically collected from your device.

We do not sell your personal data. We do not use your data for advertising purposes. We do not share your calendar or task information with third parties for their own purposes.
Your data is encrypted in transit using TLS and is stored in secure databases managed by Base44 infrastructure. Authentication tokens are managed securely. Access to your data is restricted to authorized systems and is protected by row-level security policies that ensure each user can only access their own data.
While we take reasonable measures to protect your data, no system can guarantee complete security, and we cannot warrant absolute protection against unauthorized access.
Your data is retained for as long as your account is active. When you delete your account, your data is permanently removed from our database within a reasonable period, except for data that must be retained for legal or legitimate business purposes (which is anonymized where possible).
You can delete your account and all associated data at any time from Settings → Account → "Delete Account & All Data." You can also request deletion through our Account Deletion page.
Upon account deletion, all meetings, tasks, notes, reminders, settings, and usage statistics associated with your account are permanently deleted. Calendar events you created through the app remain in your Google Calendar unless you delete them manually. Voice audio is not retained after transcription.
You can revoke Vox Secretary AI's access to your Google Calendar at any time by:

Vox Secretary AI is not directed at children under 13 years of age. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete such information.
Your data may be processed by our third-party service providers in countries other than your own, including the United States and other regions. These providers process data in accordance with applicable data protection laws and their own privacy policies.
We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the "Effective Date" at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
